MOUNTAIN VALLEY RIDERS STAFF DUTIES
November, 2006
Staff will meet the first part of January to plan a yearly calendar. Any member may attend.
CD May call a business meeting once a month if deemed necessary .This would be to avoid lengthy discussions at meetings, where we want to only hear updates, next event and then to ride. All members are welcome to attend and will be notified by e-mail or phone of such meetings.
CD: will be voted in by majority vote of the membership and will follow all GWTA guidelines as stated in the TA Way.
ASSISTANT CD: will work hand in hand with the CD and if needed will perform CD's duties if CD is not available to do so.
SECRETARY : Will take minutes and turn them into the newsletter editor in a printable form. They will keep an up to date roster of members. They will keep a record of all minutes.
TREASURER: Will keep the checkbook and pay all outstanding bills for the chapter. There will be TWO signatures on each check. The treasurer and the Chapter Director. The treasurer will not be a spouse of the CD. The checkbook CANNOT reside at the CD's home. A report of bills paid and money taken in at the previous meeting will be announced at each meeting. All bills will be presented to the treasurer before the meeting to be voted on by the members for approval of payment. An annual statement will be presented to the chapter, state and regional director, if requested. No bills will be paid
outside of meetings with the exception of the fund raiser charity .Flowers for a member in the hospital can be automatically purchased. (Amount to not go over $25.00).
NEWSLETTER EDITOR: Will provide a newsletter to each chapter member, whether they are active or not (Accourding to the TA WAY. This expense will be voted
on by members if it exceeds an agreed upon amount ahead of time. Editor will keep a copy of all newsletters for the chapter and give a copy to the historian for the albums. Newsletters can be e-mailed or sent by regular mail if the member so chooses.
RIDE COORDINATOR: Will provide a ride following each meeting. They will draw ideas given by all the members and plan that ride for the next meeting. This person
doesn't have to lead the ride. They will plan dinner rides and other special rides.
SUNSHINE PERSON: Will keep a calendar of birthdays and anniversaries. Will read the same at meetings of those who are present. Will send cards to those ill, &
flowers to those in the hospital. They will report on cards & flowers sent during the month at the meetings. Report on illness, absences of members as it comes to their attention. They will send cards and/or call members who have missed meetings &
report these at meetings. They may purchase flowers for $25 or less without a vote ahead of time. If it is not convenient for them to get this done, they may call someone closer to the area to take care of it for them. Only members or spouses will receive flowers, unless otherwise voted on by the members.
RIDER ED/SAFETY: Will give a short presentation at each meeting and have regular articles for the newsletter. They will follow GWTA guidelines for education of members.
PUBLIC RELATIONS: Will provide information on fund raisers, and all meetings to the newspaper and any other public means. Will put up flyers in motorcycle shops.
EVENT COORDINATOR: Plan and coordinate events of the chapter, such as Christmas party, Halloween party, camp outs, and poker run and any other events assigned by the CD. They will ask for committees to help them with all events.
HISTORIAN: Will keep pictorial record of events and meetings: including news articles, thank you cards and letters; and a copy of each newsletter, and pictures.
They will bring this album to each meeting and event for others to look at. 50/50: Will sell tickets for a 50/50 cash prize or other items donated for raft1e at meetings. $1.00 per ticket or 6 for $5.00. Extra ticket for chapter shirt or
vest worn to meeting.
MEMBERSHIP PERSON: Will keep an up-to-date picture directory of all members. Will provide each new member with a packet consisting of a welcome letter, chapter by-laws, Touring News Magazine, a member roster, and a questionaire to be filled out. They will also have their picture taken to be used in the directory . A member should be assigned as a buddy, if it seems appropriate.
STOREKEEPER: Will keep chapter items for sale such as: rockers, t-shirts, patches, and any other items that the chapter sees fit to keep on hand.
PHONE TREE: Will be in charge of setting up a comittee to call members when the CD asks them to do so. (Especially for last minute rides or events.)
